Revenue recovery infrastructure · Health & medical practices

Your practice doesn't have a booking problem. It has a revenue leakage problem.

Empty slots, unreturned voicemails and clients who never rebooked are not a front-desk performance issue. They are gaps between the steps of your appointment journey, and no single tool is responsible for a gap.

The Zero No-Show System — booking, reminders, payments, client portal and owner visibility connected into one revenue recovery infrastructure that your practice owns.

  • 90-Day No-Show Recovery Guarantee

Revenue leakage

The appointment journey has eight handoffs. Most practices own three.

Between someone deciding they need you and coming back again, an appointment changes hands eight times. Every handoff that nothing owns is a place revenue leaves without appearing in a report.

    Attendance

Counted as a feeling, not a figure.

  2. 06Primary leak point

    Payment

After the service, so a no-show recovers nothing.

    Closed by Payments & deposits

  3. 07Secondary leak point

    Follow-up

Depends on the visit being remembered.

    Closed by Client portal

  4. 08Primary leak point

    Rebooking

Waits for the client to make the first move.

    Closed by Recall & CRM

The most expensive leak is the one with no record

A cancellation shows up in your calendar. A missed call at 8pm, a client who quietly moved to the clinic with online booking, a recall that nobody ran — none of those appear anywhere. That is why practices consistently underestimate the number.

Put a figure on it

The reframe

Most practices buy tools for each step. Very few build the system connecting the entire journey.

A booking widget, a reminder app, a card terminal and a spreadsheet are four products with four logins and no shared memory. The revenue does not leak inside any one of them. It leaks in the gaps between them — and no vendor is responsible for a gap.

The system

The Zero No-Show System

WebtureXperts builds The Zero No-Show System — booking, payment, reminder, and client-portal systems for health & medical practices — so they stop losing revenue to missed appointments, backed by a 90-day performance guarantee.

  1. L1

    Client-facing surfaces

Where the appointment is created, moved or paid for — by the client, at any hour.

  2. L2

    Automation layer

Deterministic sequences with defined triggers. Nothing here waits for a person to remember.

  3. L3

    Money layer

Payment attached to the booking itself, settling into your own Stripe account.

  4. L4

    Record & visibility

One database holding schedule, payment and message history — and the reporting that makes the no-show rate a number.

System modules

Eight modules. Each one closes a named leak.

Modules are added in the order the money justifies, not all at once. The first three tiers are defined builds; the fourth is scoped against your existing systems.

Investment for the entry build is $1,800–$3,200, with a Care Plan from $99–$179/mo. See every tier and what is in it.

How it works

Five stages, and you can book appointments after the third

The whole build runs 21 days. The unusual part is the order: your booking page is live and taking real appointments on day 7, long before the system is finished.

  1. Stage 01

    Diagnose

Your own booking numbers turned into a monthly revenue figure, before anything is designed. If the figure is small, we tell you not to buy.

    Recovered Revenue Report
  2. Stage 02

    Design

The booking flow, appointment types and admin views are designed against how your practice actually schedules, then reviewed once before any code is written.

    Contract · Discovery · Design
  3. Stage 03

    Build

Your booking page goes live on day 7 and starts taking real appointments while the rest of the system is still being built.

    Development · Day-7 Fast-Launch
  4. Stage 04

    Connect

Reminders, deposits, portal and dashboard are wired into the same record, tested end to end, and handed over with front-desk training.

    QA · Launch
  5. Stage 05

    Optimise

The no-show rate is monitored against the guarantee, and the system keeps getting adjusted until the number moves.

    Care Plan · 90-day guarantee

What “finished” means, in writing

The build is accepted when the client can complete a live booking, receive a reminder, and complete a test payment without error.

  • A real booking can be completed end to end on the live site.
  • A reminder is received at the configured interval, over both email and SMS.
  • A test payment clears through your own Stripe account without error.

Who this is built for

Veterinary first. Then the practices with the same journey.

Appointment revenue leaks the same way across health and medical practices, but it does not leak for the same reasons. Each vertical gets its own build details, not a find-and-replace of the last one.

Flagship verticalLargest health vertical

Veterinary practices

Independent veterinary clinics lose appointments twice: once to no-shows, and again to the clinic down the road that lets a client book at 9pm without picking up the phone.

Booking that understands patients as animals, not calendar entries — and recalls that fire whether or not anybody remembered to run the report.

Practice profile
One to three vets, independently owned general practice. The largest single health vertical in scheduling software, and the least digitised.
Loss pattern
No-shows sit around 10–12% of booked appointments. Each one is a slot that was staffed, prepared and then paid for by nobody.
What starts the search
Client churn. A long-standing client stops rebooking, and it turns out they moved to a clinic with online booking.

Not every practice should buy this. Read who it is not for before you book anything.

Why WebtureXperts

Software companies sell you a tool. Agencies sell you a website.

This is neither. It is a done-for-you revenue-recovery build with a performance commitment attached, delivered by the person who scoped it.

  • Technical expertise

Next.js, TypeScript, PostgreSQL, Stripe and React Native — written and maintained by the person who scoped your build. Not assembled from no-code blocks that break when a vendor changes a plan.

  • Systems thinking

The booking page is a symptom-level fix. We design the whole appointment journey as one connected flow, so closing one leak does not just move the money to the next gap.

  • Revenue focus

Every module exists to close a specific, nameable revenue leak. If a feature cannot be tied to a leak, it does not go in the proposal.

  • Owned infrastructure

Your domain, your Stripe account, your database, your source code, your app listing. No per-seat licence, and no platform holding your booking history.

  • Practice-specific implementation

A veterinary build needs species and weight on the patient record. A physio build needs care-plan visit blocks. These are not the same product with a different logo.

  • 90-Day No-Show Recovery Guarantee

If your no-show rate has not measurably dropped within 90 days of launch, WebtureXperts continues your Care Plan and makes system adjustments at no additional charge until it does.

This is a performance commitment, not a blanket refund. It obliges us to keep working the system until the number moves.

    How the guarantee is measured

Proof, honestly

We will not show you results we cannot document

This is a young company with a small number of shipped builds and no published client performance data. So instead of borrowing credibility, here is the actual system, the actual method, and the actual limits.

Shipped buildVeterinary

Royal Vet

A live veterinary build. Referenced as a shipped system, without performance claims attached.

Also delivered

  • A veterinary practice app delivered to a clinic in Canada.
  • A desktop practice system delivered to a clinic in Pakistan.

What we do not claim

  • No client revenue results, because none are documented yet.
  • No testimonials, ratings or awards.
  • No HIPAA, SOC 2 or ISO certification — we do not hold any, and compliance certification is outside our scope.
  • No AI receptionist for sale, though one is in development.

Every interface shown on this site is drawn and labelled “Illustrative interface”. No client account or client data appears anywhere.

How your data is handled

  • Data minimisation by default

The booking layer collects what it needs to schedule an appointment and take a payment. Nothing more is collected because nothing more is needed.

  • Clinical records stay in your clinical system

We do not build systems that store patient medical or clinical information. That data belongs in your practice management or EHR system.

  • Card data never touches your database

Payments are handled by Stripe. Your system holds a token reference, not a card number.

  • No certification claimed

WebtureXperts does not hold or claim HIPAA, SOC 2 or ISO certification, and compliance certification work is explicitly outside our scope. If your engagement requires certification, we will tell you that before you commit.

Roadmap

AI receptionist

In development. Not for sale.

A voice and chat layer that handles inbound booking calls is being built and tested. It is not included in any tier, it is not quotable today, and it will not appear in a proposal until it has been shipped and proven in a live practice.

The 90-day guarantee only means something if every capability behind it already works. Selling an unfinished feature is the fastest way to break it.
